What made a conversation about “when” feel less like a meeting?

Welcoming shared experiences
My partner and I live in different cities during part of the working week. Whenever we talk about whether we are ready to try, the conversation becomes a list of travel dates, rent and things that need sorting first.
The practical parts matter, but I would also like to know how we each feel. If you have had a conversation like this, what setting or opening helped? Did walking together work better than sitting down with a list? Was it easier in several short conversations?
I am interested in the parts that were awkward as well as what helped. There is no particular timetable I want someone else to choose for us.
